PDM maintaining current and previous PDF's of revisions

How does archiving and PDF creation work?

When a dwg is promoted to "Released" status our documentation group (PDM admin) creates a PDF with the rev letter in the name and saves it in a read only folder as the "Released dwg" which we run by (neither manufacturing or purchasing has the PDM viewer). Question came up about why do they need to archive previous PDF's when they can view and print all the older Released views in PDM. Is this true?

Also, when looking at the drawing in the View tab under doc info shown below

why does our title block text appear different/longer than the original pdf created manually? 'View' tab shows different text.JPG

thanks!

Sandy
