So let me get this right, you are saying I need to add a variable i.e %/pdf;xlsx% to each work flow? Then how would I stop them from viewing drawings, models etc.?

Visibility of a file is controlled by:
Notice that none of these are extension level permissions. This means that there is no simple out-of-the-box setting that will allow for the visibility of only Excel spreadsheets or PDFs. yes, there are things like categories or set variables but those are just secondary information containers that serve 1-5 above. You would need to take advantage of what you have set up now to let 1-5 help you in restricting visibility. in other words, you'll have to rig something up if you don't have something useful already. having said this, typically, non-cad data have a particular workflow where they are revision or non-rev managed. I don't know what you use excel and pdfs fore but, if you can find that your excel and PDFs in question can fall to a particular workflow, then only restrict visibility for that user to files in that workflow. if not, folks have made good suggestions here already.

Thanks Francisco for answering. I get what you are saying and oh dear might not work for me.
I know this is complex but for my work it's how it has to be, one hot mess. So S-19-04 is a Scan project we want to keep pdf's sheets for these projects in this folder. Under Fabrication excell inspection sheets will have a folder. I'm just trying to control out of control people. If I put everything under a PDF file and Inspection file (not a big deal per say) but Management can't go in and pull all information to said job as there will be ton's of other pdf's

You can configure separate Workflow for these files and give to user/group the appropriate permissions.
If files already exist (in some Workflow) - add a transition for these files to the required Workflow.
New files should automatically fall into the required Workflow (this can be configured using conditions and automatic transitions and/or Dispatch).
You can use categories, or you can use a separate folder for these files.
Of course, all this can depend on the specific organization of work and folders structure.
