The thing is that i want that the mail will be sent only to specific people that forgat to sign on a document for i.e.
i started a signing process on "doc.docx" to 5 people that i have chosen the signing process to be sent.
1. Jack
2. person b
3. person c
4. person d
5. person e
after two days all signed but jack, i want jack to receive automatic mail that will remind him to sign on "doc.docx"
all others i don't want that this mail will be sent.
p.s. i have a group of people that i check (v) when i send them a siging process i'm mean that the 5 people from above are from larger group and it changes, sometimes i need these 5 to sign on document and sometimes i need other people to sign on other document
its not that each signing process asignment creates new specific folder/group, or i don't get something.
the most issue is that people forget to sign and i need follow up them instead of automatic mailing that will follow up them
I don't believe what you are asking for is possible, at least not without either some dispatch coding or creative workflow. Perhaps not even then. We use this type of delay notification & simply mail everyone involved, Jack, person b,c,d,e and anyone else who should be aware that someone isn't doing their job.
its a bit strange for me, because i want to follow up automaticly only the "bad guys" :-), the "good guys" not need them to be overflowed with mails.
i will try to implement it with the API even that i don't realy know how to start, is it open source API, i mean if i'll write some code on VB or C# is it easy and striet forward to implement such script or i need some specific license or SW or some adds?
btw, the delay notification goes to only the Jack, b, c, d, e even though they are a part of a bigger group? i mean i can make them only be involved in this delay notification by checking their names at the begining of the task? i mean if there are a lot more people in the group where Jack, b,c,d,e are , will this group also get the mail notifications from your example?

Agreed that you can setup notice in the Vault Admin which appears in inbox as others already showing here
I found that this feature UI is not noticeable to all users as we still using outlook to communicate about the file status
I assume you're familiar with the PDM Admin
for each state in the workflow, you can add users to the recipients for notifications as Greg mentioned earlier
what I mean this feature exists but I don't like its user interface as its not noticeable to the users so there will be chance it'll be ignored so we don't use here but are still using outlook email for notifications
In fact, I wrote an app which the users can use to send out notifications thru outlook email
Yes.
1) Open the workflow editor
2) Click on the state the delay is occurring
3) Click the Notification tab
4) Click "Add Folder Notification"
5) Click OK for all folders or Select the folder(s)
6) Under Type:, select "Delayed in State"
7) Choose your options
8) Save your Workflow.
9) Enjoy your day.
