Viewers only see released versions?

Hello,

I think this is a simple question, but I can't figure it out. We are looking at implementing Workflows. The idea is a document is released, everyone can see it. The part needs some work, so they move it into a working state. We want the "Viewers" to see the released version of the document when the file is in a working state. I swear I had this working last month, but now it doesn't. Am I missing something? I have them as "Read File Contents", but not "Show working versions of files". The only state the have access to is Released.

Correct Answer

They will need Read File Contents for the folder and the State.

Make sure the working state does NOT have 'Ignore permissions in previous states' checked.

Folder permissions I believe I am good with. They can see the file when it's released. I added the viewer group to "Read File Contents" on the state now. I don't have "Ignore permissions in previous states" checked. All I see is a local copy of that file.

I've been trying this morning and I'm stuck in the same spot. Once the file is in a working state, even if the group as read file contents for that state, they don't see a file unless they get the folder permissions to see working files. I swear this use to work!

This is one of those things that can be time consuming to diagnose in a forum stream.

In the essence of time, I suggest you contact your VAR (be prepared to send them a backup of your database - makes the process faster).

I believe it is working. I was assuming the document would stay in the "Released" state on their screen. It looks like the state updates, but the part will stay in the latest released version when opened. Is this correct?

Yes! That is correct - the status will show what the document is currently sitting at, but, they will still have access to the document as it was released.
