What are the options/methods and best practices for checking in another user's data when they are not available (vacation, no longer employed, etc)? Using PDM Professional 2016.

If file Checked out PC is available, then you can reset other user password and checkin the file from that PC, or else you need login as an admin do force undo check out, by doing this you will loss last modified data. Hope this clarifies.

At a company I used to work at, we did not use the Windows logins, but separate ones for PDM. More than once, I logged into someone's computer as myself, then logged into the vault as them to check in files. (If I didn't know the password, I used my admin powers to change it then did the login.) This can definitely work.
I'm not sure about how the Windows Auth affects this. It might be possible, especially in the case of someone no longer employed, for the IT department to reset their password so you could log in as them.

Hi Dan, even if Windows Auth is used, you can open the PDM Administration Tool on the users computer (Start, All Programs, SOLIDWORKS PDM, Administration), double click Settings underneath local settings, then on the Automatic Login tba, select the vault in question, and untick "use server default" - this will then allow you to log into the vault view on the user's machine as Admin (who is not a Windows user) , and then check the files in (preserving locallly saved changes). Once finished, you can log off the vault view as Admin, open the Administration tool again, go to Local settings, and turn on "use server default" so when the user logs in next, Windows Auth is active again for them.
If access to the users machine is not available, then you can log in as Admin from any other machine and do an Undo Checkout which discards any locally saved changes.

Someone knowledgeable with SW and the files should do the check in.
That person need to compare the files and decide to check the local file in or keep server copy.
You don't know if the files are half way in edit with sketch open.
Also the edit may not be required anymore.
I believe anyone with admin access can check the file in.
You could do a few test and see how the PDM system react.
Thanks yea, the intent is to have one of the technical leads or their "anointed" indicate which files should be checked in and which should be undone, etc.
I'll test and see if an admin can check in, couldn't find anything that says one way or the other.
Just my 2c on this. Encourage people to add commets and notes to their models so others can figure out what they are doing better. Naming features also helps.
Its a good idea, and one I mention during training, but other than that I've given up years and companies ago trying to get most users to do that.
Just for your information, EPDM 2018 introduced a new setting which allow particular user to check in other users checked out data. Refer attached screen.
If you truly want to check in the file, aka save the changes since last check out, you must be on the same machine (local vault view) to actually get those changes. Essentially those changes files only exist on that machine. This is true no matter what PDM user you use.
In a case where the machine is no longer available (lost, damaged, destroyed), those modified files are gone, no matter if you check them in or undo check out.
