By the way, if you already checked in a state with transition, is there a way to change to the state without transition?
No, you always need a Transition to move between states. You could either create a temporary one to move them or you could just Rollback the files to when they where in the state with the transition (if there are no changes you want to keep).
I'm kind of confusing - Here is what I tried
I created a new state "Design Library" and made it initial state (temporary). Checked in all the hardware files to the Vault then came back and change Preliminary to initial state for checking in regular files
Is it a good way doing this?
You should just create a Transition from Preliminary to Design Library, you could limit the transition permissions to the admin or a couple of users
what are pro/con: with/without a transition from preliminary to Design Library?
Well if you don't have a transition in the future you need to add more files to the library (from McMaster or other vendors) you'll have to go back into the admin tool and change the initial state status... I don't really see an issue with just having that transition.
I don't have trouble adding a transition but have a question:
With or without transition, I still need to go to admin tool to change design library to initial state so the standard/purchased parts can be checked in as design library state. Otherwise, they will be checked in as preliminary as initial state and I have to manually change them to design library state?
Am I missing something here? Please advice
without a transition, you will have to edit your workflow every time you want to add a file to your design library.
And if you have multiple users, you run the risk of another user checking a file in to the wrong state while you 'temporarily' have the initial state set.

I won't do it on a daily basis. Just one time when I create a new Vault and might be once a while, maybe once a month or yr
so the chance of other users checking normal file to design library is unlikely to happen !

no. with a transition, the files can be briefly in your normal initial state. and then you transition them to the design library state. then you would not need to edit your workflow in the future - at least not to get files into your design library.

yeah - not sure if you have the option for automatic transitions in PDM Standard. but that will be something you will likely want to look into.

Here what's I'm going to do
1) create a new state "Design Library" win the transition from Preliminay
2) Change Design Library to initial state just for now since I have a huge folder (including many sub-folders) of standard/purchased files from workgroup PDM
3) Change Preliminary to initial state before let other users starting using PDM standard
4) in the future, standard/purchased files will be checked in as preliminary and manually change them to design library
is this a good way to handle design library?
